Working Document on Constitution of the MHSAA

CONSTITUTION
Structure

No person may be a member of the MHSAA who was not a student at Macdonald
High School at any time.

The Association will work under Rober’s Rules of Order, generally operating with the abridged version.

The Executive Committee of the MHSAA shall consist of
President or Chair
Vice President or Vice Chair
Secretary
Treasurer
Committee Heads of the

      Programme Committee

 

      Membership Committee

 

    Resources Committee

Past president (Ex-Officio)
Members at Large may be appointed to the Executive Committee at their
discretion.

The Duties of the Executive Positions shall be determined by Robert’s Rules
of Order and common Sense.
A Quorum of the Executive shall consist of three persons.

The Fiscal Year shall run from the Monday after the third Sunday in October
to the third Sunday in October.

Signing Authority for banking purposes will be any two of three signatures,
to be including the Treasurer and two other members of the executive
committee.

The Term of Office for each executive position shall be two years with half
the executive being elected each year. Elections shall be held yearly for
positions becoming vacant.
By-elections will be held ad hoc as required with a vote of the membership.
A member of the executive will forego the position by missing half of the
executive meetings in one year. A member may be removed by a vote of the
executive if the duties of that position are not being fulfilled.

Meetings of the Executive Committee shall take place at least four times
annually, including the AGM. The AGM and at least one other meeting will be
held in the Ste. Anne de Bellevue area. Each member of the executive will
absorb his/her expenses of holding office, including travel costs to and
from all meetings. Members of the executive are expected to attend all
executive meetings.

Committees of the Executive shall consist of Committee Heads, the
Subcommittee heads, and members at large approved by the executive.

The Programme Committee shall oversee The Class/Year Reps or Committees and
the following sub-committees: Web site Administration, Reunion, Events, Web
site Benefits, The Planters and Painters, and other subcommittees as deemed
by the executive.
The Web site Benefits Committee is designed to oversee such undertakings as
a “job line”, information for purchase of school memorabilia such as rings
or mugs, travel / B&B information, support and contact for alumni family
members away from home, and other benefits that alumni conceive and are
willing to support on the web site.

The Painters and Planters is designed to undertake assistance to the
physical plant and grounds of the school, as seen fit by the executive.

The Membership Committee shall oversee the membership and the following
sub-committees: Nominations, Elections and any other committees as deemed by
the executive.

The Resources Committee shall oversee the following sub-committees:
Fundraising, Disbursements, Scholarships, Sponsorships, and any other
committees deemed by the executive.
